Overview
Shadow Council Dojo (“we,” “us,” “the guild”) operates shadowcouncildojo.com as a community site for fighting-game news, events, profiles, guides, and rankings. This policy describes what personal data we collect and how we use it.
Data we collect
Depending on how you use the site, we may process:
- Account data — email address, display name, password hash (for credential sign-in), and role for staff accounts.
- Discord sign-in — when Discord OAuth is enabled, we receive profile information from Discord (such as username and avatar) as permitted by your Discord authorization. Discord's own privacy policy also applies.
- Public profile — bio, region, mains, social links, profile slug, and visibility settings you choose to publish.
- Content you submit — articles, guides, LFG posts, event details, media submissions, and leaderboard entries associated with your account.
- Technical data — session cookies needed to keep you signed in, and standard server logs (IP address, user agent, timestamps) used for security and troubleshooting.
How we use data
- Authenticate you and operate your account.
- Display public profiles, rankings, and community content you publish.
- Moderate the community and enforce our Code of Conduct.
- Maintain site security, prevent abuse, and improve reliability.
We do not sell your personal data.
Sharing
We may share data only as needed to run the site:
- Discord — for OAuth sign-in and community support channels linked from the site.
- Hosting providers — where the site and database are stored and served.
- Event platforms — when you register for an event through a third-party link, that platform's terms and privacy policy apply.
Retention
We keep account and content data while your account is active or while content remains published. When you request deletion, we remove or anonymize personal data where reasonably practicable, except where we must retain records for security, legal compliance, or legitimate community moderation purposes.
Your choices and rights
- Control whether your profile is public using profile settings where available.
- Request access, correction, or deletion of personal data by contacting moderators on Discord via our contact page.
- Stop using the site and request account removal if you no longer want your data processed here.
Cookies and sessions
We use essential session cookies to keep you signed in. We do not use third-party advertising cookies on this site. If analytics are added in the future, this policy will be updated.
Children
The site is not directed at children under 13. If you believe a child has provided us personal data, contact us through Contact and we will take appropriate steps.
Changes
We may update this policy as the site evolves. The “Last updated” date at the top of this page will change when we do. Continued use of the site after updates means you accept the revised policy.
